Shopify order edits and free gifts need a manual check after checkout. A cart rule can add or remove a gift while the shopper is buying, but changing the completed order does not mean the original promotion will be recalculated for you.

If support removes a qualifying product, adds another product, or changes a discount, the gift may no longer match the campaign terms. This workflow helps staff review eligibility, payment, refund, fulfillment, and inventory before they save the edit.

Why Shopify order edits do not replay the free-gift cart rule

AutoCart acts in the storefront cart. After checkout, the order is a separate record. Editing that record does not send the customer back through the original cart journey.

Shopify's order-editing guidance warns that some discounts do not update automatically when an order changes. Shipping methods and rates are not automatically recalculated either. Treat every edit that touches a promotional order as a fresh eligibility decision.

Recalculate the original offer first

Find the campaign rules before changing any line items. Record:

  • Qualifying products or collections
  • Minimum spend or quantity
  • Whether the threshold used pre-discount or post-discount value
  • Maximum number of gifts
  • Customer or market restrictions
  • Campaign start and end dates

Then calculate the edited order using the same basis. The guide to free-gift thresholds before or after discounts can help your team document that basis before launch. Do not switch from pre-discount value to post-discount value because the order editor shows a different summary.

Example: a customer received a free pouch after spending $100 on an eligible collection. Their original qualifying subtotal was $125. Support removes a $35 qualifying product, leaving $90. The edited order no longer meets the original rule, so staff must apply the campaign policy for the gift.

Decide what to do with the gift line

There are four common outcomes.

Edited order result Gift action
Still qualifies Leave the gift and verify its discount
Falls below threshold before fulfillment Remove the gift or collect its disclosed price according to policy
Falls below threshold after gift fulfillment Follow the published return policy
Newly qualifies after adding products Add the gift manually if the campaign permits post-order changes

Do not silently charge for a product that was presented as free. If your terms allow the customer to keep it for a stated price after an edit, get agreement and use Shopify's payment collection flow.

Review discounts after changing products

Shopify lets staff add, adjust, or remove discounts from order line items. The updated order can create a refund owed to the customer, an amount to collect, or no balance change.

Check the gift line even when it remains on the order:

  1. Confirm the intended product and variant.
  2. Confirm the quantity.
  3. Confirm the line discount still makes the gift free or discounted as promised.
  4. Check that the promotion was not accidentally applied to a replacement line.
  5. Review the final tax and order totals.

If you add a gift manually, use a clear discount reason. A reason such as "October gift-with-purchase, order edit" gives the customer and another staff member useful context.

Check the payment or refund balance

Saving an order edit does not always move money. When the order total decreases, Shopify shows a refund amount, but you still need to issue the refund. When the total increases, collect payment through an updated invoice or your approved payment process.

Use this sequence:

  1. Make the line-item and discount changes.
  2. Review the new subtotal, discount, shipping, tax, and total.
  3. Confirm whether Shopify shows an amount to refund or collect.
  4. Update the order.
  5. Complete the separate refund or payment action.
  6. Add an order note that explains the gift decision.

Do not mark an edit complete just because the order lines look right. Verify the flow of funds too.

Protect fulfillment from stale instructions

An order edit can happen after a fulfillment request was sent to a warehouse. Removing the gift in Shopify may not recall a pick task that already exists.

Check:

  • Whether the gift or qualifying product is fulfilled
  • Whether a fulfillment request is open
  • Whether the warehouse has already picked or packed the order
  • Whether a replacement changes weight or package size
  • Whether the customer needs an updated confirmation

If the gift has shipped, use your Shopify free-gift return policy instead of trying to solve the issue only inside the order editor. For warehouse planning, follow the free-gift shipping and fulfillment checklist.

Account for inventory changes

Removing an unfulfilled gift can return inventory, depending on the order-edit and restock choices you make. Adding a gift consumes stock and may create a fulfillment task.

Verify the inventory location on the edited line. A manual gift added from the wrong location can make the online order appear possible while the warehouse has no stock.

If the intended gift is unavailable, follow the substitution policy you published. Do not replace it with another variant of different value without confirming the customer-facing promise and stock.

Create a support checklist for every edit

Add these fields to the support macro or internal procedure:

  • Original promotion name
  • Original qualifying value or quantity
  • Edited qualifying value or quantity
  • Gift kept, removed, added, returned, or charged
  • Refund or payment status
  • Fulfillment status
  • Inventory location
  • Customer notification sent

This record makes later returns and audits much easier. It also reveals recurring campaign rules that create too many manual edits.

Test Shopify order edits and free gifts before launch

Place test orders and run these cases:

  1. Remove a qualifying product before fulfillment.
  2. Reduce quantity but remain above the threshold.
  3. Add a product that makes the order newly eligible.
  4. Replace the qualifying product with an excluded product.
  5. Edit after the gift is fulfilled.
  6. Change a line-item discount.
  7. Create both a refund and an amount-to-collect scenario.

Record the expected result for the gift, payment, tax, fulfillment, and inventory. Staff should not have to invent the policy while a customer waits.

Keep post-purchase edits consistent with the original promise

The simplest rule is to recalculate eligibility with the original campaign definition, then follow a written policy for the gift. Review discounts, funds, fulfillment, and inventory before completing the change.

AutoCart keeps the gift aligned with cart conditions before checkout. Your order-edit workflow carries that same logic through post-purchase changes.
